Org. Setting and Reporting
This position is located in the Peacekeeping Records Centre in the Office of the Chief of Staff, Department of peacekeeping operations (DPKO) and Department of field support (DFS). The incumbent reports to the Chief, Peacekeeping Records Centre.
Responsibilities
Archives and Records Management:
�Performs detailed cataloguing of DPKO and DFS core business records in the Peacekeeping Records Centre�s electronic recordkeeping system.
�Maintains the Peacekeeping Records Centre�s paper-based and electronic central file system by creating new folders, registering the metadata of records, distributing record links, and applying disposition.
�Participates in records management projects in DPKO and DFS offices, assembles records and creates electronic file lists in preparation for records transfer and arranges for their transportation from offices to non-current storage.
�Assists in accessioning, disposition, description, and database updating activities as they relate to the Peacekeeping Records Centre�s records-related projects.
�Supports disposition operations by liaising with DPKO and DFS records-originating offices on transfer procedures and documentation; in consultation with the Information Management Officer, analyzes retention schedules in support of disposition decisions.
�Conducts end-user training in the Peacekeeping Records Centre�s electronic systems.
�Performs clearinghouse functions concerning maintenance of accession, disposal and location elements of the Peacekeeping Records Centre�s databases.
�Analyzes retention schedules and precedents in support of disposition decisions.
�Performs internal records retrieval, loan, and reproduction operations.
�Provides standard and Archives and Records Management Section (ARMS)-specific applications support and applications/LAN troubleshooting for DPKO/Office of the Under Secretary General and DFS/office of the Under Secretary General staff.
�Conducts end-user training in paper and electronic recordkeeping systems in DPKO and DFS, in support of programmes initiated by the Information Management Officer.

Education
High school diploma or equivalent.
Work Experience
A minimum of five years of experience in archives, electronic record management or related area is required. Experience in applying filing methods is required. Experience in using electronic document management system and/or records management systems is required. Experience in applying metadata standards and information security principles is desirable. Experience in library, archives and records management at the UN or in similar international organizations is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of French is desirable. Knowledge of another official United Nations language is an advantage.

This position is located in the Personnel Records Unit, Learning, Development and HR Services, Office of Human Resources Management. Information Management Assistant will report to senior Information Management Assistant.
Within delegated authority, the Information Management Assistant will be responsible for the following duties:
Archives and Records Management
�Creates Official Status Files for newly appointed staff members;
�Provides standard and PRU-specific applications support and Unite Docs troubleshooting for Headquarters Deployment Group (HDG) staff.
�Conducts end-user training relating to requesting official status files through Unite Docs.
�Provides initial technical support and guidance to end-users and identifies areas where improvement or modifications are needed.
�Registers Section�s incoming and outgoing records in electronic record keeping system.
�Maintains Unit�s paper-based and electronic central file system by creating new folders, applying disposition instructions and tracking file circulation.
�Participates in records management projects in Secretariat offices, assembles records and creates electronic file lists in preparation for records transfer and arranges for their transportation
from UNHQ to Offices away from Headquarters.
�Carries out quality control functions for incoming and outgoing official status files and document to be filed.
�Assists with training of the temporary staff and covers supervisor�s duties in their absence.
�Assists in accessioning, disposition, description, and database updating activities as they relate to Section records-related projects.
�Performs clearinghouse functions such as records inventory/archiving projects and carries on various duties such as: performs researches in HR and unit�s databases to determine which files are to be archived, analyses retention schedules, assembles records, creates electronic files list, updates information in unit�s electronic record keeping system and coordinates transfers of records to ARMS.
�Supports disposition operations by liaising with records-originating offices on transfer procedures and documentation;
�Creates and maintains manual accession records and provides information to other Section staff in support of reference and archival arrangement and description activities.
�Oversees internal records retrieval, loan, reproduction and staff clearance operations.
�Supports external reference services by drafting routine responses to inquiries, including records reproduction transmittals, for approval of HR Officer.
�Participates in maintaining the Unit�s reference database.
�Participates in discussions and meetings on creation of digital records, reorganization of Unit�s work processes, files management and record keeping.

Liaises with document processing services with respect to preparation, reproduction and distribution of documents and publications.
Orders and follows-up on shipment of documents, reference materials, stationery and necessary equipment to various sites.

This position is located in the Archives Unit, Office of the Under-Secretary-General, Office of Legal Affairs. The incumbent reports to the Senior Information Management Assistant.
Responsibilities Under the direct supervision of the Senior Information Management Assistant, the Information Management Assistant will be responsible for the following duties:
- Facilitates the periodic transfer of scheduled records into the Archives by liaising with OLA units; ensures the completeness and accuracy of transfer documentation; and provides assistance to the Secretariat staff in transfer preparations to Archives;

� Supervises and provides work direction and guidance to junior information management assistants; manage and coordinate the activities under his/her unit or area of responsibility; monitor staff performance and prepare performance evaluation reports for staff supervised;
� Prepares budget submissions related to the operation of the Information Management Unit; drafts narrative justifications for the proposed budget and; monitors budget expenditures once approved;
� Consults and advises other units/sections throughout MINUSMA to identify and plan the provision of information management services, and ensures the efficient provision of such services;
� Prepares work output and progress reports on the work of the Unit for the supervisor and senior management;
� Performs other duties as assigned by the supervisor.

High school diploma or equivalent. Technical or vocational certificate in library, archives or records management techniques and systems or related fields is a requirement.
At least 8 years of progressively responsible experience in the field of archives and records management work.
English and French are the working languages of the United Nations Secretariat. For this post, fluency in English (both oral and written) is required. Knowledge of French is an advantage.
