Org. Setting and Reporting
The position is located in the Compensation and Classification Section of the Human Resources Policy Service in the Office of Human Resources Management.

The Section is seeking interns interested in gaining professional, hands-on experience in records and document management and digitization, as well as to understand the substantive processes behind compensation and/or job classification as well as obtaining a deep understanding of organizational structures and salary survey methodology.
               
Responsibilities
Interns are expected to perform some of but not limited to the following tasks under the supervision of a HR Officer and guidance from office staff:

�Research, analyze and evaluate compensation and classification documentation to determine its validity and life-cycle;
�Assist in the digitization and distribution of documentation taking into consideration retention schedules;
�Process and/or catalogue archival collections;
�Assist in the ongoing maintenance of content management systems, including updating the Section�s internal and external website pages;
�Develop an inventory of documentation to be retained, recording them in the office databases and shared drives;
�Participate in record-keeping improvement projects and make recommendations on data master;
�Evaluate adequacy of existing records management and reference tools;
�Perform other related duties, as required.

Education
To qualify for this internship the following conditions must be met:
1. Applicants must:
(a) be enrolled in a library science, archives, knowledge or document management, communications, information science, media studies, human resources, or related field graduate programme; or
(b) be enrolled in the final academic year of a library science, archives, knowledge or document management, communications, information science, media studies, human resources, or related field bachelor's degree programme (minimum Bachelor's level or equivalent); or
(c) have graduated with a university degree in library science, archives management, knowledge or document management, communications, information science, media studies, human resources, or related field, as defined in (a) or (b) above) and, if selected, must commence the internship within a one year period of graduation.


2. Be computer literate in standard word processing and spreadsheets software applications such as Microsoft Word and Excel or similar. Have knowledge of digitization processes. Have a demonstrated keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter; and have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.
Work Experience
Applicants are not required to have professional work experience for participation in the programme. Experience in managing digital records is an advantage.
Languages

Purpose of the Position
The incumbent of this post will be responsible for management, setup and maintenance of emergent Enterprise Records Management platform for both electronic and physical records. This would involve setup, configuration, maintenance, support, custom development, environment and application security management, and customization of SharePoint environment integrating with Third Party software for all UNICEF's electronic and physical records. This includes building records management systems frameworks, definition and setup of metadata and classification schemas, management of document repositories, integration, setup and management of hierarchical storage management systems as defined by the ECM project. The incumbent will also provide expert advice on best practices and techniques for the development and operationalization of enterprise records management solutions.


Key Expected Results
  • Plan, identify, and maintain original and current configuration of requirements documentation, design documentation, hardware/software, and related documentation. Setup configuration with data management, enforcing policies, and processes for products. Draft and document policies and procedures for the administration (governance, security, replication, clustering) and management of the environment including disaster recovery.
  • Responsible for the effective technical management of the organization's records and document management application infrastructure. The duties entail planning, testing, and implementation phases related to the periodic upgrades of the records and archive management environment.
  • Coordinate with corporate-wide SharePoint development teams and business users in product testing, User Acceptance Testing (UAT), and implementation of Solutions. Integrate and interface Enterprise Records Management solutions with other IT systems operational within UNICEF such as ERP application
  • Administration, maintenance, monitoring, and support for the UNICEF Enterprise records management environment Configure lists, document libraries, reports, views, groups, site collections, administered identity authentication and authorization practices. Apply operating system, , SharePoint, and 3rd party add-ons patches and cumulative updates.
  • Work closely with cross functional technical teams to elicit and validate user requirements to develop custom workflows, pages, sites, alerts, permissions, list views, and implement scripts as necessary.
  • Support management and operationalization of electronic and physical record filing systems as well disposition into Enterprise Records management systems.
  • Troubleshooting for SharePoint including Gimmal and other Records management add-on environment - understanding, gathering data, and documenting issues, analyzing, and investigating problems.
  • Provides third level technical support to the records management application administration and content owner team, including importing data to records management application from other systems.

Qualifications of Successful Candidate
  • An advanced university degree (Master's) in Computer Sciences, Software Engineering, Information System Management, Business Administration, or a directly related field(s) is required.*
  • A relevant first-level university degree (Bachelor's), in combination with 7 years of relevant work experience, may be accepted in lieu of the advanced university degree (Master's).
  • A minimum of five (5) years of relevant experience at the national or international levels in advanced SharePoint governance, administration, security, management, monitoring, system development, in support of organizational or other relevant areas is required.
  • Prior experience in managing a database driven records and archive management, content management, or document management system is required.
  • Prior work experience in design, setup, and implementation of knowledge/information management systems is required.

The United Nations Environment Programme (UNEP), is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. This position is located in the Division of Environmental Law and Conventions (DELC), at UNEP's Headquarters in Nairobi, Kenya. DELC is the lead Division charged with carrying out the functions of UNEP in the field of environmental law, governance and related policy issues, including those related to multilateral environmental agreements (MEAs). Responsibilities
Within delegated authority the incumbent will perform the following duties:- 1. Direct the further development and operation of knowledge management systems at the Division to generate, collect, maintain and disseminate information on environmental law and governance, including MEAs. 2. Take lead in strategy, planning, development and implementation of large, complex communications campaigns in the field of environmental law and governance; develop ways to implement campaigns system-wide and to incorporate the campaign message and themes into all relevant events and products. 3. Develop project proposals and identify sources and seek funding and other assistance for major campaigns. 4. Contribute to the formulation of overall policies, procedures, objectives and guidelines affecting the development and maintenance of the Division's non-current records and archives and delivery of reference services, archival description and systems management. 5. TERMS OR REFERENCE

1. Background and justification:

 
The UNCCD Scientific Knowledge Brokering Portal (SKBP) has been developed as a pilot in 2014 to act as a "bridge to bridges". It is designed to improve access to scientific and technical information on desertification/land degradation and drought (DLDD). The SKBP will address many knowledge gaps on global sustainable land management practices, by providing awareness, guidance and access to relevant knowledge sources. The SKBP pilot consists of two modules: An interactive map of knowledgebases, and a search portal for content offered by partner organizations.

Development of the SKBP is led by the secretariat�s Knowledge Management, Science and Technology unit (KMST), in cooperation with partner institutions. The KMST unit offers an internship within the team responsible for content management and development of the SKBP.


2. Description of duties for the Intern:

 
The intern will perform the following tasks under the direct supervision of the Programme Officer:

? Assist in the collecting, structuring and uploading of information to the SKBP portal;

? Assist in developing, maintaining and applying taxonomies and classification systems to existing knowledge bases;

? Perform desk research and online research;

? Any other duties as decided by the supervising officer that relate to the internship.


3. Internship Objective and Learning Elements:

Experience and knowledge of the work of the United Nations Convention to Combat Desertification;

? Enriching experience in working on knowledge management and knowledge sharing platforms;

? Understanding the importance of information technology and architecture to determine the structure, design and flows of information.

4. Expected Qualifications/Skills


Must be in pursuit of a Master�s degree in either archival, information systems, information management or related fields;

? Basic knowledge and understanding of sustainable land management practices, and issues relating to desertification, land degradation and drought;

? Basic knowledge of information management and record keeping, including the use of taxonomies and classification systems;

? Understanding of modern library and knowledge management practices;

? Ability to work collaboratively with knowledge providers and with service providers in information technology;

? Ability to work in an organized and structured way;

? Fluency in written and spoken English.

Org. Setting and Reporting
The United Nations Human Settlements Programme, UN-Habitat, is the agency for human settlements. It is mandated by the UN General Assembly to promote socially and environmentally sustainable towns and cities with the goal of providing adequate shelter for all.

The UN-Habitat Information Services Section internship is for 6 months.

The Internship is UNPAID and full-time.

Interns work five days per week (35 hours) under the supervision of a staff member in the department or office to which they are assigned.
Responsibilities
Daily responsibilities will depend on the individual's background; the intern's assigned office as well as the internship period.

Under the direct supervision of the Head, Knowledge Management Support Unit (office), the intern will:

1. To participate in processing of the audio-visual collection.
2. To participate administration and managing content in the Archives Management System.
3. To participate in records appraisal and disposal.
4. To identifying, scan and upload documents to the �Project Accrual and Accounting System�
( PAAS).
5. To assist in the administration and re-design of the intranet.

Education
